These terms are the ground rules for working together when you hire CoffeeNCoders to design, build, fix or look after a website, online store or app. We kept them short and in plain English. Your written quote and these terms together are our agreement, and if the two ever disagree, the quote wins.
Quotes and scope
- After a first chat we send a written quote, usually within 48 hours: what we will build, the price (a fixed price, or an hourly rate while the scope is still open), the timeline and the payment milestones.
- Anything outside the quote is new work. We tell you the price first and only start once you say yes.
- A quote stays valid for 30 days.
Payments
- Fixed-price projects are paid in milestones: usually 40% to start, 40% when you approve the design or a working beta and 20% at launch. Bigger projects can be split by sprint, so you only pay for work you have seen.
- We start each stage once its payment has arrived.
- Hourly work is billed for the hours actually used, with a timesheet.
How we work together
- Our part: we design first and build only what you approve, share a preview link every week, keep your project up to date on your client portal and answer messages fast, usually within 5-10 minutes.
- Your part: you send the content, logins and feedback we need on time. If they arrive late, the launch date moves with them.
- Nothing goes live until you have approved it.
Who owns the work
Once the project is paid in full, the design and the code we wrote for you are yours, together with every login and file. Open-source tools, themes and plugins keep their own licences. We may show the finished project in our portfolio unless you ask us not to or we signed an NDA.
Support after launch
Every project comes with three months of free support from the day it goes live: bug fixes and small fixes in the work we delivered. New features and bigger changes are quoted separately or covered by a care plan.
Care plans
Care plans are monthly and paid in advance. You can cancel any time before the next billing date. Hours that are not used in a month do not carry over.
Other companies' services
Hosting, domains, paid plugins, payment gateways and app stores belong to other companies, with their own terms and prices. We help you choose and set them up, but we cannot control their uptime, their prices or their decisions, such as an app store review.
Confidentiality
Your ideas and business details stay private. If you want an NDA, we sign one before you share anything.
Liability
We build and test carefully, but no software is ever completely free of faults. If something we built does not work as agreed, we fix it. Our total liability for a project is limited to the amount you paid for it, and we are not liable for indirect losses such as lost sales.
Ending a project
Either side can end a project with written notice. You pay for the work done up to that point and we hand over everything finished so far. Our refund policy explains what happens to payments.
